Exclusive and Regular Use Requirement

To claim the home office deduction, the space must be used exclusively and regularly for business. A spare bedroom used as an office during the day but a guest room at night does not qualify. The IRS is strict about exclusive use โ€” be prepared to prove it if audited.

What Expenses Can You Include?

Under the actual expense method, you can deduct: rent (if renting), mortgage interest and real estate taxes (if owned), utilities (electricity, heat, water, trash), homeowners insurance, repairs and maintenance (painting, fixing leaks), and depreciation (for owned homes). HOA fees and landscaping are generally not deductible unless they directly benefit the business space.

The simplified method limit remains 300 square feet ($1,500 max) for 2026. If you use the actual expense method, depreciation of your home is calculated over 39 years (residential rental property). Two Ways to Claim the Home Office Deduction

The IRS gives every self-employed person with a qualifying workspace a choice between two methods. You can switch methods year to year, but you cannot mix them in the same year. The right choice depends on your square footage, whether you own or rent, and how much you spend on the home overall.

Simplified Method

Multiply your office square footage by $5, capped at 300 square feet (max deduction $1,500). No depreciation, no Form 8829, almost no record-keeping beyond measuring the room. It is the fastest option and the safest if you want to avoid depreciation recapture later.

Actual Expense Method

Compute the percentage of your home used for business (office sq ft ÷ total home sq ft) and deduct that percentage of rent or mortgage interest, real estate tax, utilities, insurance, repairs, and depreciation. This requires Form 8829 and detailed records, and it can produce a much larger deduction for renters or owners with big homes โ€” but it brings depreciation recapture into play when you sell.

Worked Example: 200 Square Feet in a 2,000 Sq Ft Rented Apartment

A freelance consultant rents a 2,000 sq ft apartment for $1,800/month and uses a 200 sq ft bedroom exclusively as an office. Business-use percentage = 200 ÷ 2,000 = 10%.

The simplified method would give only 200 × $5 = $1,000. Here the actual method wins by $1,484. The calculator shows both and recommends the larger. Owners additionally add mortgage interest, real estate tax, and depreciation (over 39 years), which can push the actual-method number even higher.

The Exclusive and Regular Use Test

To claim any home office deduction, the space must be used exclusively and regularly for business. A room that is an office by day and a guest room by night fails the exclusive test. The IRS is strict: a deduction claimed on a shared space is a classic audit flag. A dedicated corner, closet, or shed that only ever serves the business qualifies. "Regular use" means more than occasional โ€” a few hours a week of genuine work generally clears the bar.

Depreciation and Recapture for Owners

If you own and use the actual method, you depreciate the business portion of the home over 39 years. The upside is a bigger current deduction; the catch is depreciation recapture: when you sell, the depreciated business portion is taxed (up to 25%) rather than enjoying the full home-sale exclusion. The simplified method takes no depreciation, so it avoids recapture entirely. This trade-off is why many owners near a sale switch to the simplified method.

The Home Office Deduction and Your QBI Deduction

The home office deduction interacts with the Section 199A QBI deduction in a helpful way. Because the home office lowers your net self-employment earnings, it also lowers the base from which the QBI deduction (up to 20% of qualified business income) is computed โ€” but the reduction is small relative to the tax saved. More importantly, having a home office can help establish that you run a genuine trade or business, which supports QBI eligibility for solo freelancers. Claim it whenever you legitimately qualify; the downstream effects are positive, not negative.

A Quick Shortcut Most Filers Miss

Many freelancers treat the home office as an income-tax-only break. It is not. Because it is a business deduction, it reduces net earnings and therefore your SE tax as well. A $1,500 simplified deduction can cut SE tax by roughly $212 (15.3% × 92.35% × $1,500) on top of any income-tax saving. For renters with modest square footage, that combined saving often exceeds the effort of claiming it โ€” which is close to zero under the simplified method.
